Agency software buying checklist: 14 questions before you move clients

Agency software looks cheap until client accounts, phone numbers, automations and staff permissions are already inside it. Before moving real customers, treat the platform as operational infrastructure—not another marketing subscription.

The costliest software mistake for an agency is not choosing the “wrong” page builder. It is choosing a system that becomes difficult to leave after client data, workflows and communication channels are embedded in it.

1–4: account structure and ownership

  1. Can every client be isolated cleanly? Check contacts, domains, users, integrations and reporting—not just visual separation.
  2. Who owns the data? Know how contacts, conversations, files and analytics can be exported.
  3. What happens when a client leaves? Can you transfer or detach the account without rebuilding everything?
  4. Are permissions granular enough? A client should not accidentally see another client’s data.

5–8: automation and integration

  1. What does the API actually allow? “API access” is not a sufficient answer. Validate the endpoints your process needs.
  2. Can workflows be copied safely? Templates and snapshots save time only if credentials, domains and customer-specific values do not leak.
  3. What fails when an integration goes down? Identify manual fallback for forms, appointments and lead routing.
  4. Can you audit automation changes? Agencies eventually need to know who changed a workflow and why.

9–11: billing and margin

  1. Which costs are fixed and which are usage based? Phone, SMS, email and AI can change gross margin.
  2. Can costs be attributed per client? If not, profitable and unprofitable accounts blur together.
  3. Does resale create support obligations? White-label software may increase revenue, but clients will treat you as the software provider.

12–14: exit plan

  1. How long would a full migration take? Estimate staff hours, not just software fees.
  2. Which assets are difficult to export? Automations and historical conversations are usually harder than CSV contacts.
  3. Can you run two systems in parallel? A staged migration is safer than a one-night switch for revenue-critical workflows.

How to use this checklist

Score each question as clear, acceptable with a workaround, or unresolved. Do not buy on a sales call while several operational questions are still unresolved. A short pilot with one internal account or one low-risk client will reveal more than another hour of feature comparison.

Important: the “best” agency platform is the one your team can operate reliably at your client volume. Feature count is secondary to isolation, observability and exit cost.
